QUESTION 1:

PORTFOLIO DISCUSSION TASKS

1.1 The importance of communication in the workplace

Communication is one of the main activities that enables an organisation to operate
successfully. It allows employees and managers to share information, explain expectations,
discuss challenges and coordinate their responsibilities. Workplace communication may take
place through conversations, written correspondence, telephone calls, virtual meetings and
other digital tools. For communication to be effective, the information must be presented in a
way that the intended audience can understand and use appropriately.

The importance of communication becomes particularly clear when employees must
cooperate to complete tasks. When instructions are incomplete or confusing, employees may
make mistakes, repeat work unnecessarily or fail to meet deadlines. Clear communication
helps prevent these difficulties by ensuring that employees understand what is expected of
them. It also allows managers to monitor progress and identify problems before they become
serious. Research by Mikkelson et al. (2024) highlights the relationship between supervisor
communication competence and employee outcomes across different working arrangements.
This suggests that the manner in which managers communicate can influence employees'
experiences and performance.

Communication also contributes to a positive working environment. Employees are more
likely to cooperate when they can express their opinions, ask questions and receive
constructive responses. Organisations should therefore treat communication as an ongoing
process that involves sharing information, listening to others and confirming understanding.

1.2 Obstacles to effective workplace communication

Several factors can interfere with the successful exchange of information in an organisation.
These include language differences, unclear instructions, poor listening, technical difficulties

, and misunderstandings arising from different interpretations of a message. For example, if a
supervisor tells an employee to complete a task as soon as possible without specifying a
deadline, the employee may misunderstand the level of urgency involved. This could result
in delays or disagreements about whether the work was completed on time.

The communication channel can also affect how a message is interpreted. Written
communication does not always convey the speaker's tone, facial expressions or intentions.
Consequently, a brief email may be interpreted as unfriendly even when the sender simply
intended to communicate efficiently. In remote workplaces, unreliable internet connections
and software problems can further interrupt communication and prevent employees from
participating fully in meetings.

These difficulties can be reduced through practical measures. Managers should provide
specific instructions, use language appropriate for the audience and encourage employees to
request clarification. Employees should also pay attention to the information they receive
rather than making assumptions. Research into informal communication in remote
workplaces highlights the difficulties organisations can experience when everyday
interaction becomes less spontaneous (2024). This reinforces the need to create opportunities
for employees to communicate beyond formal instructions and scheduled meetings.

1.3 Active listening and constructive feedback

Active listening involves giving another person proper attention, understanding the message
being communicated and responding in a considered manner. It requires individuals to
concentrate on what is being said rather than simply waiting for an opportunity to speak.
Asking relevant questions, summarising important information and acknowledging another
person's concerns are practical ways of demonstrating active listening.

Feedback is equally important because it helps establish whether information has been
understood correctly. For instance, when a manager assigns a new responsibility, the
employee can repeat the main requirements or ask questions about the deadline. This allows
both parties to identify uncertainty before the task begins. Constructive feedback can also
help employees recognise their strengths, correct mistakes and improve their performance.
