Introduction

Effective business communication is fundamental to organisational performance because
managers and employees depend on accurate, ethical and purposeful communication to
make decisions, coordinate activities, solve problems and maintain professional
relationships. Business communication extends beyond simply transmitting information
because the communicator must consider the purpose of the message, the audience, the
communication channel and the organisational context in which meaning is created. In a
contemporary business environment, communication is also affected by technological
change, cultural diversity, remote working arrangements and increasingly complex
stakeholder relationships. Consequently, effective communication requires both technical
competence and the ability to adapt communication strategies to different situations and
audiences. This assignment examines effective report writing and referencing,
communication barriers and challenges, high- and low-context communication,
relationship building and credibility, as well as negotiation strategies. The discussion
applies theoretical principles to the situations presented in the assignment to demonstrate
how effective business communication can be translated into practical organisational
behaviour.

QUESTION 1 – 25 MARKS

1.1 Five principles of effective report writing (15 marks)

An effective business report should begin with careful planning, because the quality of
the final report depends substantially on whether the writer has established its purpose,
audience, scope and information requirements before writing. Planning requires the writer
to identify what the report is intended to achieve, who will use it and what decisions or
actions the report should support. The Chartered Institute of Personnel and Development
(CIPD) similarly emphasises that report writers should identify their target audience,
establish clear objectives and determine the appropriate scope before collecting and
presenting information (CIPD, 2023). This is particularly important in business because

managers often have limited time and require information that is directly relevant to a
decision or organisational problem. A well-planned report therefore prevents the inclusion
of irrelevant information while ensuring that sufficient evidence is collected to support the
findings and recommendations. Bursey, Massey, Anderson, Ellis, Lavender, Petersen,
Roycroft, Van der Westhuizen, Kafaar, Vermeulen and Ward (2024:265) similarly position
effective reporting as a means of obtaining and presenting information that can assist
organisational management. Planning should therefore be understood not merely as a
preliminary writing activity, but as the foundation that determines whether the report
ultimately serves its organisational purpose.

The second principle is objectivity, which requires the report writer to distinguish evidence
from personal opinion and to present information fairly and logically. An objective report
should rely on relevant facts, reliable evidence, accurate calculations and appropriately
interpreted data rather than allowing the writer's personal preferences to determine the
findings. This is particularly important when a report addresses a controversial
organisational matter because decision-makers need to trust that the conclusions have
not been manipulated to support a predetermined position. Objectivity also requires the
writer to acknowledge evidence that may contradict an initial assumption rather than
selectively presenting only favourable information. In practical terms, a manager
investigating declining sales, for example, should report actual sales figures, customer
feedback and market evidence instead of simply stating that employees are responsible
for poor performance. Bursey et al. (2024) emphasise the importance of professional and
appropriate communication in business contexts, which supports the principle that
organisational reports should communicate information responsibly rather than merely
express the writer's personal view. Objectivity consequently strengthens the decision-
making value of a report because readers can distinguish between what the evidence
demonstrates and what the writer recommends.

The third principle is clarity and understandability, meaning that information should be
communicated in language that the intended reader can interpret accurately and
efficiently. A report may contain excellent research but still fail if its terminology, sentence
construction or organisation prevents readers from understanding the central message.
