Unit 25: Maintaining Computer Systems P1
Introduction: For this task, I will explain in detail the different issues organizations may face
if they do not follow policy and procedures. I will define all eight policies and procedures
and state their impact on a maintenance engineer.
Organizational policy and procedures (How does it impact a maintenance
engineer?)
What it is
Organizational policy and procedures are defined as having a course of action or guideline
which is to be followed (policy). Once a policy has been established, a procedure is then
implemented, defining how the policy should be carried out.
How does it impact a maintenance engineer
It is vital for everyone working in an organization to be fully aware of the company's policy
and procedures, and they do abide by them. The importance of this cannot be undermined,
especially when handling computer systems. Firstly, there might be some rules on health
and safety, and that needs to be clearly understood as a failure of complying can result in
injury or damage to computers. Secondly, policy and procedures define how computer
maintenance is performed, and without it or not following it can leave the organization
liable to damage. A maintenance engineer needs to acknowledge security policies as if
he/she accesses and shares confidential information; they could be in huge trouble. To
summarise, the impact of these policies and procedures is vast and means a maintenance
engineer to follow them in order to prevent severe or legal consequences.
Procurement Policy (How does it impact a maintenance engineer?)
What it is
, 2 Osman Hassan 40116340
A procurement policy consists of rules and regulations that specify how an
organization should control the way goods are acquired. Depending on the
organization's size, the procurement policy can differ.
How does it impact a maintenance engineer
Now there are many impacts a maintenance engineer may experience when wanting
to purchase goods. Firstly, the procurement policy states who can purchase supplies
within a budget. If this is not clearly arranged or followed, it can lead to inefficient
spending or even duplicate of items. A well-arranged procurement policy will ensure
someone who is more experienced in dealing with orders will purchase products
efficiently, and so there are no duplicates of the same orders. This way, a
maintenance engineer knows who makes the orders, preventing inefficient
purchasing, overspending, and time consumption. Secondly, the procurement policy
specifies the maximum amount allowed to spend on supplies. A maintenance
engineer may be impacted if the order he/she wants is over the agreed limit as the
buyer must seek approval from the company or the board of directors before
deciding to purchase. If the request is rejected, the maintenance engineer cannot
carry out the maintenance work or be limited to cheap, ineffective machinery. Lastly,
purchase limits are impactful to a maintenance engineer's job as overspending can
decrease future budgets, which in turn can affect the type of orders that can be
made.
Sustainability Policy (How does it impact a maintenance engineer?)
What it is
A sustainability policy is in the form of a statement that states the business commitments
and how hardware is procured, which last for a long period of time.
