Explore the role of an event organiser

Task of an event organiser

Promoting

An event is particularly important and basic for an organiser, as an event organiser
your job is to perform many duties in events such as managing and organising the
event, the one of the duties is to promote your event through websites or posters.
Start promoting the event 2 months in advance to ensure a wider reach. Promoting
your event is a basic and common activity that every event organiser should know to
perform so the people know how, where and when it is taking place.
Schedule=event organiser must perform many jobs to manage an event, the clever
event organiser is who schedules the event by dividing all the tasks that need to be
done, so each task can be completed easily without having confusion in all the
Tasks. Scheduling an event is as important as managing your budget as they both
dictate the time duration. Many event organisers get frustrated and get confused
when they are performing their jobs in an event because they do not schedule their
event, for example, define goals and objectives, develop event branding, plan your
program, and establish your budget. Scheduling is an important job where
professionals find suitable time to organise and accomplish an event.

Food/catering
Any type of event you are organising no matter what the event is whether it be a
hosting event, a wide party or a meeting, food is the priority to focus on, which helps
your event to get a boost and make it a brand. This also leaves a long-lasting
impression on customers and makes you head up. Catering is determining food and
potable needs, managing food and drinks for your event is an especially important
process which shows the ahead events management who the customers are, and
the preferences needed for the guests. When the food is good then the environment
will stay satisfied and pleasant.

Location/venue
To organise an event, you must maintain balance between the audience and the
location, so the audience will comfortably fit in the location without having any
excuses. Select location based on your target audience and how they would like the
place, contact the person who is organising the event from you to select the theme
and the arrangements as well as the venue. Venue selection is the most critical
decision for an event organiser to make, an organiser must think of every different
person's choice. In the event some people do not like the service but some of them
like the venue, always boosting the liking points from the audiences. Depending on
the event the location should not be too big or either too small. The way the venue

needs to be done, its facilities, staff and clients will always be remembered and will
always be linked to your event for future. Location is an important consideration
because it can impact who is attending your event if your venue is in an
unacceptable location or too out of the way transport system like airports, so you will
end up facing a lower amount of attendees.
Entertainment
Entertainment is an activity which makes the audience feel better and gains the
audience's attention and interest or gives them joy and relaxation.it can be any
activity such as dancing competition, games, and different performances, this
engages the attention of audiences and makes the audience positive. If the
environment of the event gets boring, play music or DVD so the audience do not get
bored, entertain the people could boost your event and make an impressive reaction
in the audience.

Budgeting
Managing your budget before planning an event is the basic and common thing that
every event organiser must deal with before organising an event, it is the process of
creating a plan of spending money. This process allows you to determine in advance
whether you have enough money to spend or not. Managing your budget is a
technique to spend a specific amount of money on a specific task for example food
budget, decoration budget, extras such as music arrangements and guests sitting
area. These types of tasks you can spend money on by estimating the money.

Hiring people
Hiring people who you trust to help you to decrease your stress, save your time, and
energy, they will help you to select venue selection, decorations and give ideas and
suggestions which is good or bad as a second person.
For example, if you are planning an event and you must select a venue and you are
confused to make a choice then hiring people is the best option to have suggestions
and thoughts so your life will get easier.

Coordinating resources
Communication is an activity of transferring ideas, information and thoughts from one
person to another person, place or group.by communicating you can gain confidence
and give you more ideas and help you to do planning an event. If you are not sure
about who to communicate with, you can communicate with any family member,
friend or any colleague who helps you to give as good skills as he can for example
listening, managing meetings, complementing, delegating tasks clearly and positive
verbal and non-verbal communication. Communication speaking style should seem
positive and reflected when you speak, this affects your positive representation on
clients and your partners.

Health and safety
Health and safety should be the first priority when you are organising an event.
Taking care of the audience's food allergies, their transportation, parking
management, and by making sure that what they like and not, any disabled people
need, and any emergencies if for example someone crashes the car or have any
accident and emergency then you should know how to handle it. For costumer’s
safety, organise the security at every place, check every person before they come in
and arrange the seats, dishes and clean toilets. This will affect your event image if
you maintain the balance equally and leave the attendees happy at the end of the
event. Three examples of precautions that an organiser should do e.g.; make sure
the floor is wet so no one would slip, preventing the wet floor you should organise a
sweeper to sweep up the wet feet of people that come in. If someone had a car
crash then you should be alert for it before, make sure to organise, well settle,
security and enough parking space for transportation. Food poisoning is very
common in an event that most people can get by chance to prevent this. You should
serve the clean and hot food in clean dishes without having any germs and bacteria
on it.

Legislation

Laws for managing an event
Laws are important because they ensure general safety and equality in the society.
Laws for managing an event is the legal duty of an organiser to take care of
costumer's health, safety, privacy as well as communications. In this topic I am going
to talk about following laws;

Sales of goods act
Sales of a good act is a contract of selling and buying goods with the seller, this
means the seller contracts the agreement with the costumer. The description of the
item must be the same as the actual item. You cannot fraud the customers by giving
fake descriptions which are not relevant to the item. Give the item to the customers
as described. For example, if someone wants to go on a fun fair because of the
written offer on posters “All the rides in £5” but when he went there, all the rides were
individually of £5, and this called the breaking law and spreading fake information
with the actual. The law regulates legal orders between the parties and not only
guarantees that their statutory rights are protected by the exchange of real estate,
but also that the quality and the price of the articles are specified. The function is
wider than that. You have the right to ask for a repair, replacement, or refund if a
product or service breaks, is not fit for purpose, or does not perform what the vendor
or advertiser claimed it would do under consumer law. Remedies include things like
repairs, replacements, and refunds.

Trade description act
Facts and information about a product or service supplied to assist customers in
understanding what they are purchasing: It is illegal to use a misleading trade
description to describe goods. Customers have the right to complain to the merchant
if the product is not the same as described. Consumers have right to have primary
needs, right to have safety, right to have information, right to choose, right to
representation, right to redress, right to purchaser education, and right to wholesome
environment. For example, it would be illegal for a tour operator to claim that a hotel
has air conditioning when it does not, or for a store to claim that a handbag is made
of leather when it is made of plastic, or the alcohol is available in the party but the
manager didn’t. It is beneficial for businesses and customers to follow this legislation
because it means that customers will be getting true advertisements of products.
This means that customers can look at a description, and trust what it says because
of the Trade Description Acts. This Act may also apply to an event as they may be
descriptions of the event, or different products that will be sold at the event.
