Learning Aim A - Explore the role of an Event Organiser
Introduction:
In my assignment, I will be evaluating the role of an event organiser. I will be carrying out a
report in which I will cover the following things with examples: tasks an event organiser
needs to consider when organising, investigating legal requirements, setting up organisation
procedures, what skills an event organiser needs, my personal skills audit where I analyse
my skills compared to those of an event organiser and lastly, I'd justify how my own skills
match through a conclusion.
4/A.P1 Explain the role and skills required to be an effective events planner
Tasks an event organiser needs to consider
When planning and managing an event you must consider the following elements. An event
organiser should be able to pick a venue and location. You should be considerate when
choosing the venue/location as this will influence whether your customers will want to attend
or not. An organiser should consider if the location is easily accessible, what are the travel
methods in order to get to the location and what facilities does the venue provide. For
example, for my school prom the event was located in the main hall of my school, this is
because the location was easily accessible and the students knew how to get there. The
school also had a free parking which makes it easier for parents to drop and pick up their
children. The easiest method to get to the school is by car and bus, most students could
either take the 120 bus from Northolt towards Hounslow Bus Station or the 111 bus from
Heathrow Central bus station to Kingston Upon Thames.
Catering is very important for the event because your event might be long which means that
your guests will get hungry and need food. If you provide nice food at your event your guests
will like it, feel very happy, and satisfied which will make them experience much more
memorable, this will create a good impression on your business and build a good image of it.
Usually, a good catering service will not put their guest’s health at risk, when it comes to
celebrating the most important thing is for everyone to be satisfied and happy. When an
event organiser plans the catering, they should be considering the following things like what
kind of food will be provided, is it going to be hot or cold, buffet or waiter service, outside or
internal catering, if the catering matches the needs of the target audience and health and
safety issues (Food Standards Agency and Environmental Health). For example, a couple of
months ago I had a family wedding and for that they planned to hire Indian cuisine for their
catering service. The event organiser and a family member had to go beforehand of the
event to taste check all the dishes for the wedding, like for starters, main course, dessert,
drinks, and alcohol. They decided that the food will be hot and that they’ll have waiter service
and they also remembered that some of their guests are vegetarian so they had to pick a
couple of vegetarian dishes for them in each course.
