ERP SAMENVATTING
ERP: ENTERPRISE RESOURCE PLANNING

CLASS 1: INTRODUCTION TO ERP

1. INTRODUCTION TO THE COURSE

1.1 WHAT IS A BUSINESS PROCESS

- Different processes  reeks stappen die een bedrijf volgt
- To make a product  om een product te maken
- To add value  waarde geven aan de klant

1.2 A CLOSER LOOK; PHYSICAL PROCESS
For example: Products are
moving/ are being
transported from the
warehouse to shop to the
client  echte verplaatsing
van producten.
! the goal is to let this
process match with the
documents.

1.3 A CLOSER LOOK; DOCUMENTS
There is a paper trail of documents.
 The goal of these documents is to show what
happened during the process.
 Even after the transaction, you can still see which
steps took place.
 The paper trail allows you to retrace the whole
process.
Alle papieren of digitale
documenten die nodig
zijn tijdens het proces

 Bill of order

 Products arrive in
warehouse 
delivery bill, delivery

 Salary

 Pay vendors  send
invoice

 Client  receipt

1

, 1.4 A CLOSER LOOK;
FINANCE

 There is always a financial trace in business processes, shown through money flows and
accounting entries (assets and liabilities).  Elke fysieke stap in een bedrijfsproces
(bestellen, leveren, verkopen…) laat financiële sporen na.
 Physical processes generate/ becomes documents, such as orders and invoices, which allow
companies to pay suppliers and receive payments from customers.--> Fysieke processen
genereren documenten, zoals orders en facturen, waarmee bedrijven leveranciers kunnen
betalen en betalingen van klanten kunnen ontvangen
 Without a proper document trail, it becomes difficult to track payments.
 As a result, companies may not know which customers still need to pay and which customers
have already paid.

Business process:
- To create a product, to add value
- Move the goods around
- Document paper train  what happens in the company
- Financial flow

2. BUSINESS PROCESSES

2.1 AZURE INTERIOR: THE FURNITURE COMPANY

 Stay between departments and processes
 A company is organized in departments (like Sales or HR)  are how a company organizes
people for example sales department.
 But it also works through processes, which describe everything the company does.
 A department can be linked to a process, but this is not always the case.
 Example: material management is a process that makes sure products come from the
warehouse when needed.

 Front office = all the processes that interact with the client, salesperson that sells
2

, you a desk, works in the sales department
 Back office = all the rest, what people don’t see, you don’t see the production
part when you order something online, administration.
 Example: On bol.com you see the website and ordering process, but you
don’t see everything happening behind the scenes.

2.1 AZURE INTERIOR: SALES

= How an interior of big data company is selling excellent design to you
Our sales department is in charge of contacting the client and the majority of the sales process (not all
of it though!!) & figures out what the customer wants and helps chose the right product.

The sales process works in these steps:

3

, 1. Pre-sales
The sales department finds out what the customer wants and helps choose the right
product.

2. Sales order
When the customer agrees, a sales order is created.
Both the company and the customer now make a commitment to the purchase.

3. Check warehouse
The company checks if the product is available in the warehouse.

After this, the company prepares the delivery of the product to the customer.

Free off obligation= you are all committed= it is like a marriage  je bent niet verplicht om iets te
kopen of te verkopen. Maar zodra een sales order wordt bevestigd, is er wel een verplichting voor
beide partijen.

Order
Deliver
Pay

Presales= what the costumer wants

1) Is this client willing to buy desks? How many? What kind? Competitors?

2) Very important event! At this point = commitment  can’t back out anymore

3) Sales need to contact the warehouse, to be sure if is in the warehouse or not = stock Not in
stock  produce

4) Logistics responsible, pick and pack the goods

5) Send products to the company that ordered the desks (sales department) Delivering  our part
of the commitment

6) Client needs to pay  their part of the commitment Sales department: send invoice
 Finance department: follow-up and receive payment
