1.1 Identify the key factors for successful project management? (5 Marks)

Clear Scope Definition

Defining the project scope sets the stage for developing a project plan. Research
shows that a poorly defined scope or mission is the most frequently mentioned barrier
to project success (Buye, 2021). There is a strong correlation between project success
and clear scope definition. The scope describes exactly what is expected to be
delivered to the customer and serves as the basis for project planning (Heagney,
2016). Key elements of a scope statement include the project objective, deliverables,
milestones, technical requirements, and limits and exclusions. A review with the
customer to understand and agree on expectations is also crucial. The absence of a
clearly defined project plan consistently shows up as a major reason for project
failures.

Establishing Project Priorities (Time, Cost, Performance/Scope): Quality and
ultimate project success are traditionally defined as meeting or exceeding customer
and/or upper management expectations in terms of cost, time, and performance
(scope) according to Levitt (2011). Managing the trade-offs among time, cost, and
performance is one of the primary jobs of a project manager. To do this, project
managers must define and understand the nature of the project priorities and have a
candid discussion with the project customer and upper management to establish their
relative importance. Compliance with these TCP (Time, Cost, Performance) criteria is
a measure of project success.

Effective Planning Success begins with a good plan. Developing the project scope
sets the stage for this plan. Accurate estimates of project times and costs are the
foundation for project planning and control. Traditional project management
approaches concentrate firmly on thorough planning up front. This includes defining
every detail through a Work Breakdown Structure (WBS), identifying problems and
risks before the project begins, making estimates, assigning resources, and creating
a baseline schedule and budget.

Effective Project Control: The project control process involves measuring
performance, evaluating it, and reporting on project performance. It helps keep project
stakeholders focused, identifies potential problems early, and holds people

accountable (Buye, 2021). The steps for controlling a project involve setting a baseline
plan, measuring progress and performance, comparing the plan against actual
progress, and taking action. Periodic monitoring and measuring status allow for
comparisons of actual versus expected plans. Frequent status reports (every one to
four weeks) are crucial for early detection of variations and timely correction.
Identifying and managing scope creep is also part of monitoring progress.

Managing Stakeholders and Building Cooperative Relationships: A key to being
an effective project manager is building cooperative relationships among different
groups of people (Levitt, 2011). Project success often depends on the contributions of
top management, functional managers, customers, suppliers, contractors, and others.
Project managers must understand how stakeholders can affect the project and
develop methods for managing this dependency. Effective project managers build a
cooperative network among a diverse set of allies. They use influence and a highly
interactive management style to monitor performance and initiate changes in a manner
that generates trust. Communication is a key element in managing people, including
stakeholders.

Effective Project Manager Skills and Qualities: An effective project manager is able
to lead the project team towards project success. This requires the ability to both
manage and lead a project. Effective project managers possess a broad influence
base and are skilled at acquiring and exercising influence (Kerzner, 2022). Qualities
of an effective project manager include systems thinking, personal integrity, proactivity,
high emotional intelligence (EQ), a general business perspective, effective time
management, being a skilful politician, and optimism. Building trust, based on
character and competence, is also crucial.

•Managing Project Teams: Building a high-performance project team is essential.
The magic of teams is captured in synergy, where the whole is greater than the sum
of the parts. Project managers play a key role in developing these teams through
activities like recruiting members, conducting meetings, establishing a team identity,
creating a shared vision, managing reward systems, orchestrating decision making,
resolving conflicts, and rejuvenating the team (Krupa & Hájek, 2024). They exhibit a
highly interactive management style that exemplifies teamwork. Managing people,
especially the project team, is hard work but important for project success.
