PRINCE 2 methodology

PRINCE 2 - is a methodology that is widely used by people and organizations from different kinds of
industries and sectors. The main purpose of this methodology is to guide you through the essentials
for managing successful projects of any type or scale. This methodology is really adaptable to any
specific requirements because of its seven principles, themes and processes.



These are the seven principles of guiding requirements and good practices that are applied for
PRINCE 2 projects:

1. Justification of the business project - in order for the project to go smoothly you need to justify
the reason to why you're managing and running the project. If there's no valid reason to why the
project is run, it should be closed.

2. Experience - in PRINCE2, project teams should reflect on their previous work. By doing this they
can see to what they did right and what they did wrong. That way the project will go smoother and
it'll have less errors.

3. Roles and responsibilities - in the project, each team should have their roles and clear tasks
defined. That way everyone who's working on the project will know what they're doing and what are
the goals of the project.

4. Stages - the project should be planned ahead, that way teams know what are the milestones for
the project. It also needs to be monitored and controlled as well to make sure that everything is
going according to the plan. All this has to be done is a stage-by-stage basis.

5. Access levels - people working on the project should have access levels based on their roles. That
way each person has only has access to what is need for his specific role and won't be able to access
anything that is not related to the role.

6. Focus on the product - teams should focus on the main product delivery and quality. That way the
project will meet its deadline and be the quality standard that was aimed at.

7. Environment for the project - there should be a set environment for the specific project. That
environment should be based on the size of the project, size, complexity, importance capability and
risk.



The themes for PRINCE2 was should be addressed through-out the entire project. These themes
explain what are the specific treatment required by PRINCE2.

PRINCE2 allows people to use themes by stating the minimum requirements needed for each theme
and it also gives specific guidance on how to work around the environment. These seven themes are:

1. Business case - allows you to create and maintain records of the business justification for the
project that you are working on.

2. Organization - defining each role and responsibility for the whole project team.

3. Quality - the quality requirements and measures that are used for the project.

4. Plans - steps that are required to develop the plans for the PRINCE 2 techniques that will be used.

5. Risk - effectively identifying risks and opportunities that could impact the project.

6. Change - how will the changes of the project will be assessed by the project manager.

7. Progress - ongoing viability and performance of the plans, how will the project should proceed
and whether it's worth it.

The processes of PRINCE2 describes the steps of the project lifecycle. That is done by the initial ode
to project closure. Every process provides checklists of the recommended activities, that are related
responsibilities and guidance’s of the specific environment. These are the seven PRINCE2 processes:

1. Starting up a project

2. Directing a project

3. Initiating project

4. Controlling a stage

5. Managing product delivery

6. Managing stage boundaries

7. Closing a project



Example use of PRINCE2:

University of Western Australia Library has been poor with management. The projects were badly
scoped, had no clear directions, no clear timelines, some of the projects weren't even completed at
all.

Then they decided to implement PRINCE2 across the library, so for that, the staff was trained and
the use of this methodology started.

The outcome of implementing PRINCE2 allowed them to finally write business cases, complex and
simple projects were scoped, planned and implemented. It brought the staff to work together and to
transform the organisation in a way that it increases its efficiency even more.



Overall, PRINCE2 is a great methodology with plenty of benefits. It is a widely recognised
methodology all over the world. It can be flexible and adapt to any kind of smaller project and also,
it’s a perfect methodology to use for people who want to start their qualification in project
management. Even though it is said that PRINCE2 can be used in both: large and small projects. I
think it is more suited for smaller project. When having a large project, the complexity rises and it
contains a higher level of uncertainty which increases the total costs. This uncertainty creates
questions about how the product will be delivered and what will be the outcome? For smaller
project this methodology is very useful. If you have a larger project it is more worth it to use another
type of methodology.
